Summary of Work:
The Deputy Clerk of District Court I is responsible for learning and assisting other court personnel in duties associated with case management activities of criminal, civil, traffic or other cases before the district court from initial filing to final disposition.
Essential Functions:
1. Learns court operations in the scheduling, handling and preparing of court calendars in accordance with the directives of the presiding judge.
2. Receives and reviews incoming documents to determine conformity to court procedures, laws, and rules. Routes documents to proper offices and persons. Seeks assistance from more experienced staff in matters of a non-routine nature.
3. Assigns case numbers and randomly assigns judges to cases in accordance with court procedure.
4. Performs data entry of incoming documents, case proceedings, and dispositions. Learns how to process court orders, notices and reports.
5. Receives and records all fees, fines, bonds, restitution or other receipts submitted to the Clerk of Court's Office.
6. Receives, answers and routes telephone calls to appropriate parties. Provides assistance to the public in their requests for information that do not involve legal advice or right-to-know laws. Seeks assistance from more experienced personnel in addressing any non-routine question or issue.
7. Learns court procedures and rules and provides courtroom assistance, as directed by the Clerk of Court. Retrieves and organizes files daily for each judge attending court.
8. Searches criminal, civil, traffic, and judgment records.
Knowledge Requirements:
1. Knowledge of general office equipment, software and general office procedures.
2. Knowledge of grammar.
3. Basic knowledge of court and legal terminology.
4. Basic knowledge of word processing, database management software, and spreadsheet applications.
5. Knowledge of office etiquette.
Skill Requirements:
1. Interpersonal and customer service skills adaptable to a diverse range of individuals.
2. Skilled in reading and understanding statutes and legal procedures/terminology.
3. Written communication skills to prepare reports, memos and letters.
4. Strong record-keeping skills.
5. Prioritization skills to process court documents in a timely manner.
6. Skilled in the use of word processing, electronic spreadsheet, database and specialized court/case management software.
7. Office equipment skills.
Physical Requirements:
1. The essential functions of the job typically require: sitting, stooping, crouching, kneeling, standing, walking, talking, hearing, seeing, feeling, reaching, and fingering requirements.
2. Employee may be subject to some limited travel in the performance of the job.
3. Physical requirements can typically be characterized as Light: Work involves exerting up to 20 lbs. of force occasionally, and/or up to 10 lbs. frequently, and/or a negligible amount of force constantly to move objects.
Qualifications/Requirements:
Requires a high school diploma.
